Brief Overview
Communication is a critical concept of any organization and is necessary for the smooth
running of the company’s operations. A proper strategic plan allows an organization in the
creation and the distribution of effective communication that is on deadline, budget, and ways
that create a positive customer experience and drive the desired enterprise’s actions. My strategic
plan is about the need for effective communication, particularly feedbacks. Among the biggest
hindrances to effective communication if the generation of feedbacks. Communication becomes
ineffective if it is only one-way, which also means a communication breakdown.
 The Purpose of the Communication.

The purpose of this communication plan is to enhance the generation of feedback
that would aid in effective communication between the institution and its
stakeholders. Effective communication will allow information flow and better
understanding between parties.

 Goal

The main goal to be communicated using this communication plan is to ensure
that recipients receive, understand, analyze, and communicate back to the sender
to enhance performance between involved parties. Through these steps,
communication between interested parties would generate better outcomes.

 Audience

My target audience will mainly include teachers or school administrators, parents,
and the community (leadership). These parties are critical stakeholders in the
company and play a significant role in effectively running the institution’s
operations. The importance of stakeholders is based on specific parties since each
one represents a particular role. However, and in general, some of the significant
roles include leadership responsibilities, offering a voice to opinions, ideas, and
perspectives. These key stakeholders are part of the school; whose operations
largely depend on their significant contributions.
The audience knows that communication breakdowns occur, and there is a need to
improve on it. As such, the audience feels the need to develop a better
communication plan and is hopeful about this communication plan for its role in
bettering communication. Some of the expected barriers include the difference in
perception, lack of interest or attention, and its irrelevance to the receiver. Other
possible barriers may consist of prejudices and expectations that may lead to
stereotyping or false assumptions and emotional hindrances, mainly to topics that
they may find to be off-limits. These include but not limited to religion, sexuality,
and racism.
Much of the information on the audience can be obtained through institutional
records of parents and guardians. Teachers’ records and the surrounding local
community leaders can generate information on these other two parties.
Additionally, focus groups, one-on-one interviews, and facilitated workshops for
small groups can also be an essential way to source information from
stakeholders. The conclusive information reflects various areas, including their

level of influence, interest, and participation in the project. Also, part of the
conclusion is about how best they can be involved and communicated throughout
the process. Engaging key stakeholders appropriately is crucial since they are the
primary decision-makers. Therefore, finding the right tone would be critical to
ensuring effective communication. The tone would be formal and consistent
through the communication channel and would be personal to stress on the need
for a better communication approach.

 Key Message

The key message is the essence of feedback to enhance the communication
process. The message is precise and would satisfy the much needed effective
communication between the involved parties, hence aligned to the goals and
objectives.
 Supporting Points

The essence of feedback is crucial in communication and can be supported by
various reasons. Feedbacks ensure that the recipient understands the message and
is essential to help resolve occurring issues. Additionally, regular feedback can
help prevent potential conflict and small issues that may escalate to bigger
problems. Eventually, feedback fosters improvement in performance. Areas that
are prone to possible errors can be rectified through effective communication,
thus enhancing performance.
I could use some of the facts by pointing out items or issues that occurred because
of communication breakdown, particularly from failure to give feedback.

Additionally, I would identify the benefits that occurred from effective
communication from positive and quick feedbacks.

 Channel Selection

I would use a consultative communication style and join in the discussion. The
reason is for proper engagements with the involved parties and finds the best
means forward. Additionally, this communication style would be an effective
means of finding a practical approach since every party would be present to air
their views.
The face-to-face, written, and mobile channels of communication would be my
chosen means. I would hold face-to-face meetings because of the involvement of
every party and a thorough discussion of the communication plan. Their presence
would be critical to air their ideas and perceptions while effectively supporting
their reasoning. Mobile communication would be essential in a recipient’s
accurate interpretation of the tone and interactive exchange of ideas. The written
channel would be crucial for unavailable parties to ensure they are updated on the
same. The purpose of each communication technique is the need to fully inform
the audience and engage them in discussions pertaining to the identified problem.
My action request would be the need for a discussion on effective communication
approach to ensure the inclusion of all parties in addressing matters affecting the
institution. This request is concise, precise, and actionable, considering the
possible issues from ineffective communication. Additionally, this request

identifies and seeks to correct elements that contribute to ineffective
communication.
