According to Washington (n.d.), workflow analysis, also called process analysis, implicates identifying, organizing, and setting up the tasks and information needed to obtain the intended result of a clinical process. It also allows for higher chances of success in an IT implementation. It involves applying a set of techniques that identify and address environmental factors and information needs in the early stages of system selection and implementation. There are no perfect health care information systems, and in order to obtain the maximum benefit and lessen disruptions to the health care and business processes, it is crucial to conduct workflow analysis and process redesign.
The benefits of a workflow analysis include the following (Eisner, 2021):
It allows stakeholders to gain a better understanding of the daily activities from the start to end in an organization; easily finding the redundancies or waste and focuses on areas of improvement.
Lowers costs and raises profitability as the workflow processes are standardized and allows the work to get done quicker, requiring less resources.
Helps identify opportunities for automation allowing staff to work on higher-value tasks
Increases transparency making the duties of each job clearly indicated and known, increasing trust and work satisfaction
Improves and encourages open communication with other departments to help in becoming more productive and establishing better work relationships
Streamlines customer communication and provides improved customer experience
Workflow analysis and process makes it easier to collect, review and share data to assess and improve process performance

Healthcare workflow analysis helps hospitals and medical centers find areas where health IT solutions can help increase performance efficiency. It is essential to design an EHR that smoothly fits into the workflow pattern of the medical establishment. However, the same EHR model does not work for every medical center. So, the healthcare workflow analysis techniques help design the best EHR system for the medical facility. While doing the workflow analysis, a few significant steps need to be followed to implement the EHR system ideally during the healthcare workflow analysis (Karsh BT,2009).
Mapping processes are most important, which broadly covers the aspects of Scheduling, Patient visit, Patient admission, Treatment process, and Discharge from the hospital. Direct observation would be another point on which the workflow analysis relies. Documenting the functions would not be sufficient; direct observation is necessary to determine which areas require more attention and how EHR can be implemented to make those areas more functional. As Holtzblatt K(2005) articulates, a review of the mapping process should be carried out at the beginning and reviewed by the staff members. Their input is precious because they are the ones who carry out the daily operations of the medical facility. Therefore, they can provide a different perspective on the tasks and responsibilities part of their daily routine. In addition, all these healthcare workflow analysis techniques should be followed diligently. The results of such an analysis help get a better handle on the situation and reduce the chances of error.
During workflow analysis, a variety of questions need to be addressed. Among other things, workflow analysis examines whether organizations have methods for evaluating the fit of existing workflows to the current business requirements and a governance process for overseeing the activity. The workflow analysis also examines whether the workflows in an organization handle time-sensitive tasks and how businesses make changes in the workflow.
Aside from that, a few areas must be evaluated, such as how frequently existing workflows and rules are evaluated and how the workflows handle time-sensitive activities. The potential question that should be addressed is how many people own each step of your workflows and how changes or deviations to workflows are made (Symon G et al.,2006). The frequently occurring bottlenecks in the workflows also should be discussed. Organizations can identify solutions that provide seamless operations and good collaboration and teamwork by doing so. As a result, workflow analysis considers questions that provide enough information to facilitate important decisions.

Workflow analysis is the practice of dissecting workflow performance and examining patterns in improvement. Users may alter the process for maximum efficiency and workplace productivity by looking at the workflow at the fine-grained task level. Workflow analysis often exposes duplicate work, bottlenecks, and automation potential. There are several hospitals and healthcare facilities that use workflow. Due to a lack of in-depth medical workflow research before installing EHR technologies. Medical workflow analysis may aid hospitals, and medical centers in identifying areas where medical IT technologies might help boost productivity.
For example, if a patient were in due to a motor vehicle accident, the surgery/trauma team would be the primary team. The patient was sent to cardiology for an irregular cardiac rhythm and put on a heparin drip. Several groups were engaged in the patient’s care. The patient was ready for release after surgery, and as primary, they ordered a discharge order while the patient was still on a heparin drip. When the primary nurse saw the release contain, she called cardiology, who informed her that the patient was not ready to be discharged. On discharge, the patient must be weaned off heparin and placed on an anticoagulant. The implementation failed in this situation due to a lack of process analysis.
In healthcare workflow analysis, the mapping process is critical. Medical institutions cannot successfully build EHR systems unless they understand all procedures from patient admission to discharge. Process mapping aids in the identification of areas where EHR might improve efficiency. The crew should go through the drawing process done at the start. Because they are the ones who run medical facilities daily, their perspectives are significant. They may provide a variety of viewpoints on the jobs and obligations that they face daily. All these medical workflow analysis methodologies must be followed appropriately. The findings of this investigation aid in better managing the situation and lowering the risk of mistakes (Ayaz, 2017).
